Privacy & Data Protection
This notice explains how AccXsoft Technologies Pvt. Ltd. (“AccXsoft”, “we”, “us”) handles client and visitor data in line with the EU GDPR (where applicable) and India’s Digital Personal Data Protection (DPDP) Act.
1. Who we are
AccXsoft Technologies Pvt. Ltd. is a finance–technology firm led by practising Chartered Accountants. We provide Odoo ERP implementation, outsourced finance / bookkeeping, KPO and forensic / advisory services for clients in India and overseas.
2. What information we collect
- Contact data – name, email, phone, company, designation.
- Engagement data – service enquiries, consultation bookings, proposals, scope documents and correspondence.
- Accounting / ERP data – financial records, invoices, ledgers and supporting documents shared for bookkeeping, KPO or forensic services.
- Technical data – IP address, browser information and pages visited (for security and analytics).
3. How we use your data
- To respond to enquiries and provide proposals.
- To deliver contracted services – Odoo implementation, accounting, KPO or advisory.
- To meet statutory and regulatory compliance obligations (GST, income tax, audits).
- To improve our services, website and AI assistants.
4. Legal basis and purpose limitation
For GDPR-covered data subjects, we process personal data on the basis of contractual necessity, legal obligation and legitimate interests in providing professional services. Under the DPDP Act, we process personal data only for lawful purposes that are clearly communicated and reasonably expected in the context of the engagement.
5. Data security & confidentiality
- Access to client data is restricted to authorised team members on a need-to-know basis.
- We use secure passwords, encryption where appropriate, and audited cloud providers.
- We sign NDAs / engagement letters that include confidentiality clauses where required.
6. Data retention
We retain client records only for as long as required by law or by our professional obligations (for example, tax and audit documentation) and for a reasonable period thereafter for reference and defence of claims. On written request, and subject to regulatory requirements, we can delete or anonymise data we no longer need.
7. Your rights
Depending on your jurisdiction, you may have rights to access, correct, update or delete your personal data, or to restrict / object to certain types of processing. You can exercise these rights by writing to us at info@accxsoft.com.
8. Data sharing & international transfers
We do not sell personal data. We may share data with:
- Trusted IT and cloud providers used for email, storage and ERP hosting.
- Professional advisors (e.g. other CAs, lawyers) where required for an engagement.
- Regulators and authorities when required by law.
